Privacy Policy. This page explains our approach to privacy on the Oblate Youth Service website and how it affects you. (Updates 26 July 2018)

This website is owned and run by the Missionary Oblates of Mary Immaculate, Anglo-Irish Province. www.oblateyouthservice.com is administered by Fr Leo Philomin OMI, director of the Oblate Youth Service.

Your privacy is very important to us. At the Oblate Youth Service we have a few fundamental principles that we follow:

  • We don’t ask you for personal information unless we truly need it.
  • We don’t share your personal information with with 3rd parties except to comply with the law, to help us deliver our own services, or protect our rights.
  • We don’t store personal information on our servers unless required for the on-going operation of our site and services.
  • We collect anonymous statistics about your visit to our website, like which of our pages you viewed via Google Analytics.
  • If you contact us via the website we take great care to keep your information safe and we’ll never share it with others without your expressed permission.
  • We have a policy to respect your privacy regarding any information we may collect while operating our website. We respect any request for us to delete any information you have sent to us or that we hold about you. Please contact any of the contact people above to organise this. We will duly oblige promptly, unless legal issues arise where we are obliged not to do this. Under GDPR you have the right to be forgotten. 
  • We strive to uphold the minimisation principle that requires organisations not to hold data for any longer than absolutely necessary, and not to change the use of the data from the purpose for which it was originally collected.

Security

The Oblate Youth Service takes many precautions to prevent the loss, misuse or alteration of your personal information. These precautions include:

  • Use of SSL encryption for sensitive data. Our website is hosted with Letshost.ie, in Dublin Ireland, with CloudLinux/CageFS security: see https://www.letshost.ie/shared-hosting/
  • All access to information is restricted by password and/or secure key.
  • The CMS we use is Modx and it is regularly updated with security updates and patches as the become available. 
  • All our forms are created with Jotform: see information about how we use their encryption functionality in the ‘Contact forms’ section below.

Whilst we take great care to ensure any confidential information remains protected we cannot guarantee 100% the security of data sent over the Internet, but as soon as we become aware of any security breach we will endeavour to let you know within 72 hours of the security incident.


Internal communication

We use Dropbox, Gmail, and Letshost.ie web hosting Cpanel and webmail for internal communication relating to your correspondence with us. In order to fulfil their duties, our volunteers and staff may use these services to share basic contact details with colleagues, such as your name and email address. In all cases, our volunteers and staff treat your data with care and abide by our data protection policies.


Measuring our visitors

We measure visitors to our website using Google Analytics. Like most website operators, the Oblate Youth Service collects non-personally-identifying information of the sort that web browsers and servers typically make available, such as the browser type, language preference, referring site, and the date and time of each visitor request. 

We anonymise the data in Google Analytics – so we don’t know who you are; just that somebody visited our site.

The information we collect helps us understand what parts of our sites are doing well, how people arrive at our site and so on. Like most websites, we use this information to make our website better.

You can learn more about Google Analytics or opt out if you wish. Google Analytics data is automatically deleted 26 months after your last visit.


Contact forms

Our contact forms were generated by Jotform.com. Jotform has a GDPR policy at https://www.jotform.com/gdpr-compliance. When you submit your data via the Jotform contact form it is encrypted and stored on the Jotform’s server. We view your information using a special security key which Jotform has no access to. These encrypted forms offer another layer of security on top of the already secured forms and submissions Jotform offers. 


Emails

When you send the Oblate Youth Service and email your personal information or email address will never be passed on to any third parties except where they are specifically employed to help deliver our services, as detailed above. We do not collect names and email addresses in marketing sign up email lists on this website. We do collect and request information about you including personal data but for very specific reasons such as security/police vetting and helpful medical information for prospective volunteers wishing to get involved in our services or projects.


Cookies

A cookie is a string of information that a website stores on a visitor’s computer, and that the visitor’s browser provides to the website each time the visitor returns. The Oblate Youth Service website uses cookies to help the Oblate Youth Service website identify and track visitors, their usage of the Oblate Youth Service website, and their website access preferences. The Oblate Youth Service website’s visitors who do not wish to have cookies placed on their computers should set their browsers to refuse cookies before using the Oblate Youth Service website, with the drawback that certain features of the Oblate Youth Service website may not function properly without the aid of cookies.
